CLUB RULES AND WHAT YOU NEED TO KNOW

  • You are respectfully requested to leave the Pool, Poolside Spa and Thermal Suites with sufficient time to use the showering and changing facilities.
  • BOX12, BIOCIRCUIT & Recovery Area – Monday to Friday: 6:30am – 9:30pm
  • BOX12, BIOCIRCUIT & Recovery Area – Weekends: 7:30am – 9:00pm

Membership Definitions

Adult: Application for everyone over the age of 18 years old, or 16 years old if a parent or guardian will pay the monthly subscriptions and be responsible for under 18’s behaviour. At the ages of 16 and 17 a prospective member must have the permission of a parent or guardian to join. The same parent or guardian shall be responsible for ensuring that club rules are adhered to and that their membership fees are paid in line with the terms and conditions of direct debit collection. In addition to this, members aged 16 and 17 must sign a Behavioural Code of Conduct and provide valid ID as proof of age.

Student: Application with a valid student I.D

Junior: 13-15yrs must have at least one parent or guardian as an active adult member. Members under 16 years of age must be supervised at all times whilst in the club, unless they are involved in a children’s activity session.

Child: 4-12yrs must have at least one parent or guardian as an active adult member. Members under 16 years of age must be supervised at all times whilst in the club, unless they are involved in a children’s activity session.

Infant: 0-3yrs

 

Membership Categories

Full Membership: Entitles full use of club facilities during club opening hours including 24-hour gym access.

Off Peak Membership: Entitles full use of club facilities Monday to Friday 6.00am-5.00pm (Last Entry 4.30pm) & Weekends 1.00pm-9:30pm (Last Entry 9.00pm)

Over 55 Regal Membership: Entitles full use of the club facilities Monday to Friday 6.00am-5.00pm (Last Entry 4.30pm) & Weekends 1.00pm-9:30pm (Last Entry 9.00pm)

Student Membership: Entitles full membership at a discounted rate with valid I.D. Monday to Sunday 5.00am-11pm (Last Entry 10:30pm) but excludes 24-hour access.

Student Teen Membership: Entitles full use of club facilities excluding the Thermal Suites, BIOCIRCUIT and 24-hour access. Discounted rate with valid I.D. Access times are Monday to Friday 6:15am-9.00pm (Last Entry 8.00pm) & Weekends 7:15am-9.00pm (Last Entry 8.00pm)

Corporate Membership: Full Membership at discounted rate with valid I.D. including 24-hour gym access.

Gym Only Membership: Entitles full use of the Gym Monday to Sunday 5.00am-11pm (Last Entry 10:30pm) but excludes 24-hour access and access to the Pool, Poolside Spa, Thermal Suites, BIOCIRCUIT and Classes.

Swim Only Membership: Entitles full use of the Pool Monday to Friday 6.15am-10pm (Last Entry 9.30pm) & Weekends 7.15am-9.30pm (Last Entry 9.00pm) and Poolside Spa Monday to Friday 6.15am-9.30pm & Weekends 7.15am-9pm but excludes access to the Gym, Thermal Suites and Classes.

Junior/Child/Infant Membership (0-15yrs old): Entitles the use of the Pool Monday to Friday 6.30am-8.30pm (Last Entry 7.45pm) & Weekends 7.30am-8.30pm (Last Entry 7.45pm) – Children of 13 and over can be left in the Pool during swim times if they are able to demonstrate the ability to swim 50 meters. Children 12 and under are not allowed to use the Gym, Poolside Spa, Thermal Suites or adult classes under any circumstances. Children aged 13 to 15 are permitted to use the CV and Functional areas of the Gym but not the Resistance area, BOX12, BIOCIRCUIT, the Recovery Area, the Outdoor Rig, Poolside Spa or Thermal Suites.

 

24-Hour Access

To use the Waterside Leisure Club between the hours of 10pm and 6:00am Monday to Friday and 9:30pm and 8am Saturdays and Sundays, you need to adhere to the following:

You must sign in & out at reception every time you use the facility between the above hours. This is for Health & Safety purposes and failure to do so could result in your membership being terminated.

There is limited staff on site so extra vigilance is required and extra care when exercising must be taken.

There is no access to any of the wet facilities (Swimming Pool, Poolside Spa or Thermal Suites) during the above hours.

If you require assistance during the above hours, please see reception. Please note that our reception staff are not Fitness Instructors and are not able to offer any fitness advice. However, they are first aid trained should you require medical assistance.

Please report any incidents, observations or maintenance issues to reception immediately.

There is CCTV in operation throughout the facility and this will be monitored to safeguard our members.

Panic alarms are available in all changing rooms.

All members use the equipment and facilities entirely at their own risk and the club does not accept responsibility for any harm or injury to any members however caused.

Only our Full and Corporate Membership members are permitted to use the club during the above hours.

No guests are allowed and this includes the use of guest passes.

During the above times, entry will be refused without a valid membership card/band.

Appropriate clothing and shoes must be worn at all times.

Please wipe down all gym equipment after use. Failure to do so could result in your membership being terminated.

Please replace weights after use. Failure to do so could result in your membership being terminated.

Please note that 24-hour access can be withdrawn at any point.

Membership Rules

You are not permitted to bring pets (other than guide dogs) on to the club premises.

You must not consume any food or drink in the club that you have not bought from within the club.

Crockery and glass in any shape or form is not allowed in the club.

Use of photographic equipment is not allowed without approval from the Leisure Club Manager or Leisure Director.

We reserve the right to use any individual or group photographs or movie shots for press or promotional purposes. Where possible we will ask you to sign a use of image form.

Persons who appear to be under the influence of drink or drugs will be asked to leave the club.

Any person whose behaviour is deemed inappropriate by staff, will be requested to leave the club. Any incidents of this nature should be reported to a member of staff immediately.

All equipment, staff and fellow users must be treated with due care and respect.

Appropriate footwear and clothing must be worn at all times whilst in the club.

Please use the lockers provided for your personal belongings.

All lost property found on the premises should be handed into the club reception. No underwear, hair brushes, shampoos, soaps, deodorants or similar products will be kept in lost property; they will be disposed of immediately. All other items will be kept by the club for 14 days and then donated to local charity.

All members must complete a New Member Check Sheet within the first 7 days of their membership. They may then choose to book a Gym Appointment. It is advised that all members wishing to use the fitness rooms and classes should undergo a fitness assessment and a one to one Gym Appointment.

Members and their guests are particularly advised not to undertake strenuous physical activity for which they may be medically unfit.

All members and guests use the equipment and facilities entirely at their own risk and the club do not accept responsibility for any harm or injury to any member or guest however caused.

Members and guests who have any reservations as to their physical condition are advised to have a medical check-up before embarking on any exercise.

The club reserves the right at any time to, and without notice, to remove facilities for maintenance and refurbishments.

The club reserves the right at any time to, and without notice, to set aside facilities for tournaments, exhibitions or other social activities.

Smoking and e-cigarettes are strictly prohibited in all areas of the club apart from the designated smoking area.

The club reserves the right to refuse any person admission to the club without reason.

MEMBERSHIP TERMS

Principle Terms

This agreement is an agreement between you, us and Harlands Services Ltd (“Harlands”).  This agreement commences once you have indicated your acceptance in the Declaration section of this web sign up process or during the sign up process over the telephone. Your membership starts immediately but you have 14 full days after signup to cancel this agreement for any reason. To exercise this right you must inform the club of this by email. If you exercise this right to cancel and, if applicable, we will reimburse you all joining and membership fee payments received from you using the same means of payment you used for the initial transaction. If you have used the service before requesting to cancel then we will reduce your membership fee refund by a pro rata amount equal to the number of days from signup to the date cancellation was requested.

Fees & Charges

The Joining Fee / Initial Payment or paid in full annual fee is due from you to us, is payable immediately and is not refundable other than in the event of breach or negligence by us.

The Direct Debit Payment Amount is due from you to us. You are obligated to make the “Minimum No. of Direct Debit Payments” stated with the first one being paid on the 1st Direct Debit Payment Date and then every month thereafter. You are obligated to make every Direct Debit Payment regardless of non-attendance, except where the cancellation terms below are met. See Cancellation section below.

If you fail to pay any monies due under this agreement or if any Direct Debit is returned unpaid or any cheque is returned unpaid or if any other form of payment is not honoured for whatever reason, you shall pay Harlands on demand an administration fee of £25 (which they require to cover their costs of seeking to pursue such payment from you).

You agree to advise us promptly of any change to the members’ details provided.

If you fail to pay any amount due under this agreement for a period of more than thirty days, then we may pass the debt to a third party company for collection. The reasonable and direct costs incurred in employing the third party company will be borne by you including costs in tracing you if you have changed your address without telling us.

Memberships can be transferred to another person’s name for a fee of £45. Subject to T&C’s.

Automatic Renewal/Continuation of Direct Debit Payments

Once you have completed the Minimum Number of Direct Debit Payments we will automatically continue collecting the Direct Debit Payment Amount every month. Your membership will be extended by one month for each payment (“Renewal Period”). This renewal Direct Debit payment amount may only be amended if we advise you in writing giving not less than 30 days’ notice. Please note if your membership included the benefit of a free period then we will stop making collections during that free period and recommence making collections on the renewal date.

You may prevent the Automatic Renewal at any time by giving us written notice (you should not give us less than 30 days’ notice from your next Direct Debit due date). To provide notice, please email [email protected] Upon receipt of this email, you will receive an automated reply; please maintain this and your original email as proof of receipt, should you need to rely on it at any point in the future. When the final minimum period payment has been taken you should also cancel your Direct Debit mandate directly with your bank.

Once you have completed the minimum number of Direct Debit Payments you can cancel your automatic renewal by giving us written notice as per the above guidelines. The notice period is 30 days from your next Direct Debit due date.

After the final payment has been taken you may also cancel your Direct Debit mandate directly with your bank.

 

Hotel T&Cs

The following Terms and Conditions apply to all bookings made on the website, in person or over the phone. We kindly ask that you take a moment to read them prior to making a booking.

The company enters into this agreement as principal for bookings made for the hotels it owns and as agent where a booking is made for a hotel that it operates on behalf of the hotel owner. The booking confirmation will clearly state the identity of the owner.

In these Terms and Conditions, the following definitions apply:

1 – Definitions

“Company” or “we” means Waterside Hotel and Galleon Leisure Club Limited (company no 02914950) whose registered office is at Waterside Hotel and Leisure Club, Wilmslow Road, Didsbury, Manchester, M20 5WZ.

“Booking” means the booking for accommodation.

“Contract” means the booking and these terms, and any other terms and conditions stated to apply to the Booking.

“Hotel” means the premises for which your booking is made.

“Terms” means these terms and conditions.

“Websites” means www.waterside-hotel.co.uk or any other website owned or operated by us relating to a hotel from time to time.

“VAT” means value added tax.

2 – Bookings

All Bookings at the hotel are subject to these terms.

At the time of booking or at check-in, we will take your credit/debit card details and you authorise the use of this card for any sums that become owing to us.  We also have the right to require full payment in advance or a deposit at the time of booking in certain circumstances or if the booking includes the supply of certain items or services.  No booking will be treated as confirmed until the details and/or payment/deposit described in this paragraph have been provided.

3 – Charges

The prices displayed are an average per night per room until a rate is selected.  Any meals, service, or VAT (at the prevailing rate) are included only if specified.  A minimum length of stay, deposit, cancellation charge and other conditions may apply to certain rates, as specified.  Once a rate is selected, the total for your requested stay will be displayed on the reservation summary.  Prices are charged in Pounds Sterling (GBP) and are inclusive of VAT and Service.

The VAT breakdown shown is indicative based on the current rate of VAT, and the expected VAT treatment of the goods or services.  VAT will be payable at the prevailing rate applicable at the tax point of the invoice or booking confirmation issued and may change depending on the actual rate and the VAT treatment of the goods and services purchased at that date.

Price lists for additional items, such as restaurant meals and room service, are on display at relevant locations within the hotel and are available on request.

4 – Check-in/ Check-out Requirements

In the interests of security and to prevent fraud, at the time of check-in, guests may be required to confirm their identity by providing their booking reference; their passport/identity card/driving licence and a valid credit or debit card which will be swiped in the presence of the card holder.  If guests are travelling from outside the UK, Ireland or any country in the Commonwealth we are also obliged by law to require guests to provide the number and place of issue of your passport/identity card and details of their next destination. These records will be kept for at least 12 months and may be disclosed or made available for inspection by any police officer or as otherwise required by applicable law in connection with the prevention or investigation of crime.  The information above may be requested for each member of your party over the age of 16 and we reserve the right to refuse entry to persons who cannot provide the information set out above.

Guests may check-in at any time from 15:00 on the scheduled day of arrival.  All rooms that have been secured by credit/debit card or prepaid at the time of booking will he held until 04:00 unless otherwise agreed directly with the hotel. After this point, reservations will be cancelled, subject to the first night’s charge. For reservations of more than one night, we will make every attempt to contact the guest. If we receive no response by 12:00 noon, the remaining nights will be cancelled.

On the day of departure, we kindly ask all guests to vacate their rooms by 11.00.  Late check-out after this time may be requested. This is subject to availability and will be charged at an hourly rate of £20 at the discretion of the hotel. Late checkout is not available after 13:00. After this time, guests must pay for an additional night’s accommodation.

Rooms are subject to maximum occupancy rules set by the hotel. If you would like further details, please contact the hotel.

5 – Payment

We accept the following methods of payment: credit/debit cards including MasterCard, Visa, AMEX, Maestro, and Delta. We do accept pre-paid travel cards. Please check with your supplier that your card is valid before arriving. NB: We do not accept cash payments for accommodation.

All guests are required to present a valid credit/debit card upon arrival. We will process a pre-authorisation for your stay. This will be for the total amount owing for your stay plus £25 per night per room for any extra or incidental charges. For guests staying more than 4 nights, this is capped at £100.

During your stay the hotel’s system will calculate these extra and incidental charges daily.  If the total owed exceeds the authorisation taken on check-in, further authorisation will automatically be requested. If such authorisation is not available, we may request another method of settlement or a deposit to be provided, failing which we reserve the right to restrict access to your room.

All outstanding charges must be paid for in full on check-out from the hotel.  If the outstanding charges do not exceed the authorisation taken on check-in, the authorisation for the amount not utilised will be released. However, we cannot control how long it takes for your bank to affect such release.  If staying for multiple nights at the hotel, we may require you to make payment for any outstanding charges on a more frequent basis during your stay.  If you fail to make a payment on departure, we will charge the card used for the pre-authorisation. This also includes any linked rooms.

6 – Cancellation Policy and No Shows

Rates marked as “Flexible Rate” – These are cancellable without charge up to 14:00 on the day prior to arrival. Cancellation and non-arrival charges apply after the relevant time and will be charged to the credit/debit card supplied at the time of booking.  We reserve the right to charge for one night’s accommodation per room booked if the above cancellation requirements are not met.

Rates marked as “Advance Purchase Rate” – We require full prepayment for the entire stay prior to arrival. Payment will be taken from the card details provided at the time of booking and this is non-refundable and non-transferable. Cancellation or non-arrival will result in the forfeiture of the prepayment.

In the event of the hotel taking any monies from your bank account, the hotel will not be liable for any bank charges occurred to the guest in any circumstances. This includes any bank charges

7 – Changes or Cancellation by the Company

Very occasionally, we may need to cancel your booking. In such circumstances you will be given a full refund, but we shall have no further liability to you arising out of such cancellation.  However, we will use reasonable endeavours to try and re-locate any confirmed booking cancelled by us to an alternative location similar in standard to the hotel.

Your booking is for a class of room in the hotel and does not guarantee that you will be able to stay in a specific room or in the same room for the duration of your stay. If you have indicated a preference for a particular room, we will use our reasonable efforts to honour this preference. However, we may need to allocate an alternative room to you for operational or safety reasons. If we need to move you to a different room during your booking for which a lower rate is available than the rate you booked at, we will refund you the difference in the rates.

8 – Damage / Cleaning

We reserve the right, and you hereby authorise us to charge your credit or debit card for any damage incurred to your room or the hotel during your stay (including without limitation specialist cleaning) or for any items that are missing when you leave.  We also reserve the right to apply a smoking charge of £100 if you are found to be smoking in your room, we may apply this charge after you have checked out using your card details. We also reserve the right to charge you for any excessive cleaning of the room.

9 – Accessibility

Dependent on your individual needs we may be able to accommodate you, we always advise calling the hotel prior to booking to discuss these needs.

10 – Leisure

Guests staying in a hotel may use the leisure club throughout their stay. All guests must comply with the club’s rules, a copy of which is available at reception.

Under 18s can access limited facilities at limited times. Children under 16 years of age must always be accompanied by an adult.  Children’s swimming times vary, guests travelling with children will be provided with an up-to-date timetable on arrival. For more information, please contact the hotel.

At certain times, facilities may become unavailable due to maintenance, adverse weather conditions or other reasons beyond our control.  We will attempt to keep all hotel guests informed of these circumstances. However, this may not always be possible.  If any facility is a significant reason for your choice of hotel, we would advise you to check directly with the hotel prior to arrival.

11 – Parking

The hotel has a large car park that is free to use for all guests.

Terms and conditions may also apply to car park use.  Please contact the hotel directly for more information. Cars and their contents are left at the owner’s/customer’s own risk. We do not accept responsibility for loss or damage.

12 – Hotel Events

Please be aware that at certain times throughout the year we may host events which you may feel would be an intrusion on your break.  Please contact the hotel directly in advance of your stay for further information.

13 – Guest Behaviour

Guests are requested to always conduct themselves appropriately. Guests must comply with company procedures and/or requests regarding conduct and respect for the property of the hotel, its employees and guests and their health and safety.  Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the hotel, or cause offence to other guests or our members of staff.  We reserve the right to refuse accommodation or services or remove you and members of your party from the hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case, we have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

14 – No Smoking

Guests are not permitted to smoke in any part of the hotel, designated smoking areas are provided.

15 – Children

All children (a person under 16 years of age) staying at the hotel must always be accompanied by an adult.

16 – Pets

Service dogs are accepted with prior arrangement, any other pets are not accepted. We may require you to present the relevant documentation on arrival.

17 – Personal Information

Telephone calls may be recorded from time to time to help us improve the service we offer you.

All personal information stored and used by us is done so in accordance with our Privacy Policy and Cookie Policy, which are available on request.

18 – Force Majeure

The company accepts no liability and will not pay any compensation where the performance of its obligations is prevented or affected directly or indirectly by or as a result of force majeure or any circumstances beyond its reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, fire or failure of electric power, gas, water, or other utility service, plant machinery, computers, vehicles or any collapse of building structures.

19 – Limitation of Liability

The company will not be responsible for the loss or damage of any property left in the hotel other than as required under the Hotel Proprietor’s Act 1956 and the Local London Authorities Act 2004 (a copy of the notice under such Acts is displayed in the reception of the hotel) or any other applicable law.

The company will not be liable for any indirect, consequential or pure economic loss or any loss of profit, goodwill or opportunity (whether caused by the negligence of the Company, its employees, contractor or agents or otherwise). The company’s total liability shall not exceed the value of the charges received by it under the contract.

Nothing contained in the contract or in any other document referred to or incorporated in it shall be read or construed as excluding any liability for death or personal injury caused by the company’s negligence or liability for fraud or fraudulent misrepresentation.

20 – Governing Law and Jurisdiction

The contract and any non-contractual obligations arising in connection with it are governed by English law.

The English courts have exclusive jurisdiction to determine any dispute arising in connection with the contract, including disputes relating to any non-contractual obligations.

Each party irrevocably waives any objection which it may now or later have to proceedings being brought in the English courts (on the grounds that the English courts are not a convenient forum or otherwise).

21 – Website Information

While all reasonable efforts have been taken to ensure the accuracy of information, the company does not accept responsibility for errors or omissions. We reserve the right to amend, cancel or vary any arrangements without notice. Please note that in certain circumstances, generic photographic images have been used to represent the general style of a particular product or the hotel.

The content of the website is the copyright of the company, and may not be copied, reproduced, published, distributed, or amended for any other purpose without our prior written consent.

Trademarks used on the website are the property of the respective owners. Hyperlinks to third party websites are provided for your convenience. We cannot accept responsibility for the content or use of third-party sites.

22 – Currency Disclaimer

The currency converter is provided by XE.com and is for illustration purposes only. It is meant only as an approximate conversion tool based on the latest information available and should not be relied upon for any other purposes. All rates are in the currency of the hotel booked and the currency exchange rate to be applied will be based on the exchange rate in use by Waterside Hotel and Leisure Club on the day that payment for the reservation is taken.

23 – Group Booking Policy

Bookings of 5 or more rooms classify as group bookings and are subject to different policies. A deposit of 25% of the total monies is required at the time of booking. The remaining monies will be taken from the same payment card 2 weeks prior to the arrival date.

Complete cancellation may be made up to 4 weeks prior to the arrival date and 100% of the monies paid will be refunded. Up to 50% of the remaining rooms may be cancelled up to 2 weeks prior to the arrival date. No alterations can be made after this point. Any cancellations made after this point are non-refundable and non-transferable.
